Tracking who's been trained on what — without an HR system

You need to know that Miguel was shown the closing procedure and that Ana has been through chemical handling. Most small operators keep that in their head, on a clipboard, or nowhere.

In short: A training tracker records which person was given which instruction, when, and — the part most trackers miss — in what language and whether they confirmed they understood. A spreadsheet can hold the first three. It can't hold the last two, and those are the ones that matter when someone asks.

What most trackers record

Name, topic, date, a signature. That proves attendance. It doesn't prove the person could read the material, and if it was in English and they read Spanish, the signature is a weak record.

What a useful record contains

The instruction as delivered, in the language it was delivered in. The version — because procedures change. A confirmation from the worker, in their own language, that they read and understood it. And a timestamp. That's a record you'd want if a question ever came up.

Where it happens automatically

When routines are delivered through Tiendo, every acknowledgement is logged with name, language, version and time, without anyone filling in a form. Change a routine and staff are asked to confirm the new version. You export the records when you need them.

What it doesn't do

It isn't a certification tracker. It won't tell you when someone's food handler card expires or manage OSHA-required course completions — those are separate records. It tracks instruction delivered and acknowledged, which is a different and narrower thing.

How it works

  1. Talk it in. Walk through the job out loud, in whatever language you think in.
  2. Get a clear routine. Tiendo structures it into steps, safety notes and checkpoints, then translates it into your team's language — numbers and times kept exact.
  3. Your team reads and confirms. Post a QR code or hand a new hire one link. They read it on their phone and tap "read and understood."

Questions operators ask

How do I track employee training in a small business?
At minimum, record who was given which instruction and when. A stronger record also captures the language it was delivered in and a confirmation from the worker that they understood it.
Do I need HR software to track training?
No. For a frontline team the useful record is instruction delivered and acknowledged, which a training tool can log automatically without an HR system.
Does a signature prove someone was trained?
It proves attendance or receipt. It does not prove understanding, particularly if the material was in a language the worker doesn't read well.
Can I export training records?
With Tiendo, yes — acknowledgement records with name, routine, language, version and timestamp can be exported on paid plans.
